POSITION DESCRIPTION
Administrative Assistant Administrative Manager
1. Greets visitors and notifies appropriate internal contacts.
2. Handles all incoming phone calls in a courteous, businesslike manner.
3. Processes customer purchase orders by reviewing them for accuracy and entering them into the shop management software.
4. Performs sales activities such as pre-quoting and pricing. Enter quotes into shop management software and submit them to customer.
5. Accounts receivable duties such as invoicing customers, following up on payment, and submitting monthly statements to customers.
6. Handles the routine purchase of office supplies and orders equipment and supplies for the plating operations as directed by management.
7. Performs other office functions as directed by the Office Manager.
Knowledge and Abilities Required:
1. Courteous and businesslike telephone and receptionist skills.
2. Strong computer skills.
3. Good verbal and written communication skills.
Education/Training Required: High school graduate with additional courses in computer skills and basic accounting. A college degree a plus.
Work Environment: Typical office work environment with occasional exposure to shop conditions.
